The Verification Checklist
An automated quote submission tool that verifies all required underwriting documents are collected for each account.

Document Manager
Designed to capture all incoming and outgoing documents. Incoming documents are labeled using a customized Total Pages Scanned Configuration bar code, and are attached to the first page of each document. This insures the correct number of pages have been scanned into the file. All outgoing documents are archived in their original .PDF format.

Keeps track of all changes made to each and every system field: what was changed, when it was changed, and who made the change.

DocumentTraxSM

Every insurance company involved in litigation has heard the claimant state,

“We never got that document. You never sent that to me – How can I possibly comply with those policy guidelines if I never got them?”

Our proprietary solution to this issue is DocumentTrax: a locally integrated system that tracks every document sent by taking automatic action based on the type of document, the intended recipient, and whether or not the document was opened.

After 7 days, if the document has not been opened, DocumentTrax takes action by doing the following:

1. Another e-mail is sent with the original link and a PDF attachment.
2. Depending on the importance of the document, a hard copy is sent via regular or certified mail.

Each coded document is given a unique identifier with the following information:

  • Creator of the document
  • Sender of the document
  • If/When the document was opened and by whom
  • IP address/exact GPS coordinates of where the document was opened
  • If the e-mail was bounced back, the document is sent via US Mail and our team receives notification to resolve the issue

WHAT IS THE TEST OF THE SYSTEM’S DUE DILIGENCE?

HARDWARE PLATFORMS Cloud Computing for access from any computer or mobile device with no software to install.

SOFTWARE PLATFORMS USED One centralized ASP.NET solution that integrates Microsoft .NET 4.5 for security and performance and Microsoft SQL 2014 on the backend for growth, flexibility and performance.

DATA CENTER Data is protected and secure in a fully monitored data center with biometric security, environmental controls, redundant power protection, and multi-homed Internet connections. The servers are running in a VMWare virtual environment with a cluster of hosts to both load balance and automatically handle hardware failure. In most cases a hardware failure will result in no outage, or at most a five minute service outage while the virtual machines resume function on an alternative host. The data for these virtual machines is stored on a SAN storage array featuring high speed redundant solid state drive technology.

SECURITY Granular security and permissions allow for detailed control. Website traffic is protected by SSL encrypted data transfer and the database server features the latest performance and security technology provided by Microsoft SQL Server 2014. Cisco ASA firewalls running the latest Intrusion Prevention Systems help to protect the network against threats.

MAINTENANCE All maintenance and system upgrades are included, allowing the administrator to focus on the business and not the technology. The servers, network, Internet, power, etc. are monitored 24/7 by advanced monitoring systems and our data center staff will automatically be notified in the event of a failure and will address the situation immediately.

DISASTER RECOVERY IF OUR DATA CENTER SUFFERS COMPLETE AND TOTAL DESTRUCTION BritAmerica’s servers are maintained in a reliable data center in Stow, Ohio. Snapshots of the servers are taken every fifteen minutes which include the operating system, all programming/code, and all databases. Those routine server snapshots are then replicated every fifteen minutes to a secondary data center several hundred miles away. In the event that the primary data center suffers a natural disaster or failure, the secondary data center will not be affected and will resume running the server just like it was in the primary facility. Not only do we have this plan in place for the event of a natural disaster or failure, we validate the snapshots of the server every month simulating a disaster and the spin up of the off-site data. This ensures that the process is working and the secondary data center is ready if ever called upon to carry the load. Our goal is to never lose more than 15 minutes of data and to never have a period of downtime of more than 24 hours.
